Introduction to the Problem

Too many meetings end with participants feeling unheard and underappreciated, and the task of giving feedback often falls flat or feels confrontational. In both academic groups and professional settings, this leads to inefficiencies and missed growth opportunities.

As students who participate in many student-led project-based teams with little to no central authority to distribute tasks and oversee progress, we have come to learn that it gets hard to stay disciplined and have open conversations about each other’s work ethics. Meetings also get chaotic and we often disregard whether we were productive, stuck to the agenda, and forget details about follow-ups we discussed.

Even in the professional world, people often focus on the next tasks and forget to evaluate their behavior towards colleagues.

It gets uncomfortable to provide honest feedback about peers. No one takes the time to do this unless it’s a required assignment Everyone is biased in their own way, their feedback about people might not reflect real events.

Our 'Scribe' feature automates the minute-taking process, capturing key decisions, action items, and participant contributions with unparalleled accuracy. This ensures that no critical information is lost and that every meeting ends with clear, actionable notes accessible to all participants.

Additionally, the 'Future Tasks' functionality is designed to propel productivity forward. It automatically extracts tasks discussed during the meeting, assigns responsibilities, and sets deadlines based on the dialogue. This system not only tracks these tasks but also sends follow-up reminders to keep everyone on track, ensuring that every decision made in the meeting translates into concrete action.

Addressing Sensitive Interactions

Moreover, it handles the delicate issue of over-participation with subtlety. When someone becomes overbearing, disrespectful, or dismissive, our tool discreetly offers suggestions to encourage more inclusive dialogue, ensuring every voice in the room can be heard without directly confronting or embarrassing anyone.

Problems We Ran Into

Gemini API doesn't do well with mapping audio to image video frames (with video input), so it was not good at recognizing who spoke at what point in the meeting. So we utilized a huggingface audio speech diarization model in order to identify the number of unique speakers in the audio. Based on this and individual user voice data we collected, we determined who spoke at which points to give them private personalized feedback for their behavior, knowledge, respectfulness, preparedness, and several other important personal metrics.
